Job Description:

The Assistant Commercial Manager will provide essential administrative, organisational, and coordination support to ensure the smooth delivery of commercial activities across the bid lifecycle and project execution in the EMEA region. Working closely with the Commercial Manager, finance, operations, and project teams, the role will help maintain commercial compliance, track financial documentation, and support the preparation of bids and proposals.

The role includes a strong focus on continuous improvement, proactively identifying, proposing, and trialling new ways of working to enhance efficiency, quality, and results. The Commercial Assistant will collaborate closely with Sygna’s Digital Innovation team to explore and implement improvements that benefit both the function and the wider organisation

This role is primarily office and site based, with regular travel to client offices and project sites in the UK and internationally. Hybrid working may be possible on occasion when there is no operational requirement to be physically present, but the role will involve being on-site whenever business needs dictate.

The position offers career growth potential, with the opportunity to develop commercial skills and progress into more senior roles within the commercial function.

■        Bid Support & Commercial Administration 

  • Assist with compiling financial and commercial sections of bids in collaboration with the Commercial Manager. 

  • Help prepare pricing matrices, ensuring data accuracy and proper formatting. 

  • Support in raising and tracking commercial RFIs during the bid phase. 

  • Maintain records of commercial assumptions, Scope of Work reviews, and supporting documentation. 

■        Contract & Documentation Support 

  • Assist in reviewing draft contracts and recording key commercial terms. 

  • Help track and manage purchase orders, drawdown schedules, and variation trackers. 

  • Maintain accurate and up-to-date commercial documentation in systems such as SharePoint and ERP.

■        Project Support & Financial Tracking 

  • Support monthly client applications, ensuring required documentation is complete and submitted on time. 

  • Help monitor payment certificates, outstanding invoices, and agreed financial changes. 

  • Contribute to final account reconciliation by collating supporting evidence and records. 

■        Governance & Process Compliance 

  • Assist in ensuring commercial processes are followed in line with company governance and policies & procedures. 

  • Help prepare documentation for gateway meetings, strategic debriefs, and client onboarding. 

  • Maintain accurate records for audits and reporting purposes. 

■        Collaboration & Team Support 

  • Work closely with finance, operations, legal, and project delivery teams to share commercial updates. 

  • Provide general administrative support to the Commercial Manager and wider commercial team. 

  • Support the onboarding and training of new team members in commercial processes. 

■        Continuous Improvement & Innovation:

  • Proactively identify and propose process improvements to enhance efficiency, quality, and win rates.  

  • Trial and evaluate new methods, tools, and approaches to bid delivery.  

  • Collaborate with the Digital Innovation team to explore and implement innovative solutions and digital enhancements for the bid process. 

Desirable Skills & Experience:

  • Previous experience in a commercial, project administration, or finance support role is desirable. 

  • Strong organisational skills with the ability to manage multiple priorities. 

  • Good written and verbal communication skills for internal and client-facing interactions. 

  • Competent in Microsoft Office Suite, with the ability to format and prepare professional documents. 

  • Familiarity with systems such as SharePoint and other ERP/document control platforms is an advantage. 

  • Numeracy skills with an understanding of basic financial principles. 

  • High attention to detail, accuracy, and record-keeping. 

  • A proactive approach to learning and developing within a commercial environment.
